Description:

The City of Menlo Park invites moving companies to submit informal bid proposals for the CITY HALL RENOVATION PROJECT - MOVING SERVICES. 

Work under this Contract is to be completed in six (6) phases over the course of about one year. The scope of work is detailed in the Request to Bidders, Attachment A and is only summarized here:

  • Setting up temporary storage area on the second floor patio of City Hall.  This may involve placing pallets, wood frame shelters and/or supplying plastic covering for items that will be stored.
  • Removing, protecting and storing employee boxes, filing cabinets, chairs, tables, plan racks and other equipment,
  • Relocating employee items to temporary work stations at the beginning of each phase.
  • Returning employee items to permanent work stations at the end of each phase.
  • Conducting Phase 2B and Phase 6 moving on closed Fridays, 3-day weekends or on other weekdays before 8:00 a.m. or after 5:00 p.m. to minimize effect on City operations.  Night, weekend and holiday work may be allowed with prior written permission of the City Engineer.
  • Maintaining constant contact with the City Engineer and general construction contractor to ensure that the moving coincides with the construction schedule.
  • Other incidentals as necessary to complete the work as shown on the attachments.

The City will:

  • Clearly label all items with employee seat number at new location.
  • Hire a separate contractor who is familiar with the City’s existing cubicle furniture to remove and dispose of most existing cubicle walls and modular desks.  They will also remove and re-install about 25 cubicle work stations which will remain after construction and carpeting is complete. 
  • Hire a separate contractor to deliver and install new carpet at the end of each phase.
  • Hire a separate contractor to deliver, assemble and place new furniture, including desks, filing cabinets and tables.

A separate schedule is also available showing work by all contractors, including General Contractor, City Information Technology Staff, Cubicle Demolition & Removal Contractor, Carpet Installer and Furniture Supplier.
